Terms of Use

Your responsibilities when using Playbook to publish, share, and retrieve your organization's knowledge.

These Terms of Use govern your use of the Playbook website, application, and MCP connections provided by GVO Cloud, Inc. ("we," "us," or "our"). By using Playbook, you agree to these terms. If you do not agree, do not use the service.

If you use Playbook for an organization, you must be authorized to do so and follow its policies. If your organization has a separate agreement with GVO Cloud, Inc., that agreement takes precedence over these terms wherever they conflict.

Accounts and access

Use the account assigned to you and keep your account information accurate. Protect your sign-in credentials, personal API tokens, and assistant connections. Do not share credentials or let others use your access to bypass their own permissions. Notify your administrator or contact us promptly if you suspect unauthorized use.

Your organization controls workspace membership, permissions, content, and administrative settings. Use only the clients and content you are authorized to access. Administrators are responsible for assigning appropriate access and reviewing it when a person's responsibilities change.

Acceptable use

You may use Playbook for lawful work with your organization's knowledge, subject to these terms and your organization's agreement. You must not:

  • Upload, publish, or share material that is unlawful, infringes another person's rights, or violates confidentiality or privacy obligations.
  • Use Playbook for fraud, impersonation, harassment, or distribution of malicious software.
  • Attempt to access another person's account or restricted content, bypass access controls or usage limits, or obtain credentials without authorization.
  • Disrupt the service, overload its infrastructure, or conduct security testing without our authorization.
  • Use an integration or automated tool to do anything these terms would prohibit you from doing directly.

Report suspected security issues to info@gvo.cloud. Do not include passwords, API tokens, or unrelated confidential content.

Your content and sharing

You and your organization retain your rights in the content you provide. You must have the rights and permissions needed to upload, process, publish, and share that content through Playbook.

You authorize GVO Cloud, Inc. and the service providers it uses to host, store, reproduce, process, and transmit your content as needed to provide and support Playbook according to your use, workspace settings, and applicable customer agreement. This includes search indexing, assistant responses, and sharing you enable.

Your organization is responsible for the accuracy and suitability of its documents, reviewing suggestions, and deciding what to publish. When you share a document with another Playbook client, that client's administrators control who can read the accepted shared document. Confirm that sharing is permitted before enabling it; revoking access cannot recall copies a recipient has already obtained.

GVO Cloud, Inc. and its licensors retain their rights in the Playbook software, product marks, and service materials. Permission to use Playbook does not transfer ownership of those materials.

AI and connected services

Ask Playbook and connected assistants can produce incomplete, outdated, or incorrect answers. Review cited source documents and verify outputs before relying on them or publishing changes. AI output is not a substitute for professional advice or the judgment required for consequential decisions.

A connected assistant acts with your current Playbook permissions. Depending on your access, it may read content, submit suggestions, or publish changes directly. You are responsible for the connections you authorize and the actions you instruct them to perform. Use suggestions when changes need human approval.

External assistants and identity providers are separate services governed by their own terms and privacy policies. Review those terms and your organization's policies before sending information to them. We do not control their availability or their handling of information they receive.

You can revoke assistant connections and personal API tokens in AI Connections and API Tokens. Revocation stops future access through those credentials; it does not erase information already received by another provider. See the connection documentation for details.

Privacy and data

The Playbook privacy policy describes information processing, retention, exports, deletion, and privacy requests. Your organization's policies and applicable customer agreement also govern its use of workspace information.

Only upload information your organization permits Playbook and its configured providers to process. Administrators should review Data & Privacy before enabling optional assistant interaction sharing for product improvement.

Service and subscriptions

We may update Playbook's features and apply reasonable operational limits to maintain reliability and security. Maintenance, service failures, and third-party dependencies may interrupt access. Any commitments about availability, support, or notice of service changes are governed by your organization's agreement.

Fees, subscription periods, seat limits, renewals, and cancellation or refund arrangements are set out in the applicable order or customer agreement. These website terms do not establish separate billing terms.

Suspension and ending use

Subject to the applicable customer agreement and law, we may restrict or suspend access when reasonably necessary to address a breach of these terms, a security threat, unlawful activity, or harm to the service or its users. Your organization may also change or remove your workspace access.

You can stop using Playbook at any time. Contact your administrator about removing membership, exporting content, or ending your organization's service. Stopping use or revoking an assistant connection does not itself cancel a subscription or delete workspace data. Offboarding and deletion follow the applicable agreement and the process described in the privacy policy.

Disclaimers and liability

Except for commitments in an applicable customer agreement and to the extent permitted by law, Playbook is provided "as is" and "as available," without implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not guarantee uninterrupted operation or the accuracy or completeness of workspace content or AI outputs.

To the extent permitted by law and subject to the applicable customer agreement, GVO Cloud, Inc. is not liable for indirect, incidental, special, or consequential losses arising from use of the service. Nothing in these terms excludes liability or limits rights that cannot lawfully be excluded or limited.

Changes and contact

We may revise these terms and will publish updates on this page with a revised date. Material changes will be communicated as required by applicable law or your organization's agreement. Changes apply prospectively; if you do not agree to revised terms, stop using Playbook and contact your administrator about next steps.
